Terms and Conditions / Privacy

Warwickshire Open Studios (WOS) is open to artists and designer makers:

  • who live or work in or around Warwickshire and Coventry
  • are aged 18 years or over
  • for formal educational establishments and minors groups, the leader should be aged 18 years or over

Participants taking part in any / all of the WOS events - including the virtual #artweeksfromhome event - agree to abide by these Terms & Conditions of Entry

Venues

  • It is a condition of participation that visitors should not be required to pay an entrance fee to the venue for the WOS Summer Art Weeks event - entry must be FREE
  • Advice on arrangements for venues who normally charge for entry (such as National Trust properties) can be sought from the Board
  • It is the artist’s responsibility to comply with any additional terms and conditions that may apply to a third party venue
  • It is the artist's responsibility to check that the venue has the relevant PLI insurance in place and if not take out their own

Entry

  • Anyone exhibiting at a venue for any event organised by WOS must be a registered artist - this includes the virtual #artweeksfromhome event
  • There is a fee to become a registered artist (currently £35)
  • For all group entries each individual artist must be a registered artist
  • Formal Educational Establishments / Organisations only require the lead person to be registered

Fees

  • To take part in any WOS event there may be an entry fee in addition to the registration fee
  • Fees are payable in advance and are not refundable
  • Fees will cover the costs of administration, a limited amount of advertising and marketing (including social media) and the production of brochures/flyers
  • All fees are payable via Paypal ONLY

Event information

  • Artists must supply personal information about themselves and their event(s).  This includes information supplied through forms on the Connect and Emerge section of the website
  • Artists agree to the publication of certain personal information which they have supplied as part of the registration process on the website, in the printed brochure, other marketing materials, Connect and Emerge
  • WOS reserves the right to decline entry . Any such decision will be communicated to the applicant in writing
  • WOS reserves the right to cancel registration at any point through the year.  Any such decision will be communicated in writing

Connect

  • WOS will make every effort to try and match artists and venues but we cannot guarantee that we will be successful

Emerge Bursaries

  • As part of the Bursary application process, the applicants must agree to the specific Terms and Conditions outlined on the form

Website

The website will carry full details of the artist’s Summer Art Weeks event and the artist's profile as provided by the artist when registering. WOS reserves the right to undertake minor edits / corrections to this content.

Privacy

Warwickshire Open Studios is committed to protecting the personal information of all visitors to our website. Users of our website can visit the site without revealing their identity or providing information about themselves.

Warwickshire Open Studios does not capture and store any personal information about individuals who access this website, except where you voluntarily choose to give us your personal details to become a member of Warwickshire Open Studios, to register for a Warwickshire Open Studios event, to order goods or to be added to the Warwickshire Open Studios mailing list.

We do not store financial information about our registered artists as all financial transactions are undertaken through PayPal.

We process personal information collected for the purposes of:

  • Dealing with requests and enquiries concerning Warwickshire Open Studios activities.
  • Informing users about events, products and services offered by Warwickshire Open Studios members or associated organisations (for example – Art in the Park, LSA). We will not pass on your personal information unless you have given us permission to do so.
  • Carrying out artist research, marketing research and promotional activities.
  • Collecting statistics to enable us to monitor trends in Warwickshire Open Studios registrations and website usage.

We may occasionally share visitors' personal information with other companies that we have hired to provide services to us. Such companies are contractually bound to use such personal information strictly for the performance of the particular services only. We may also make use of online services for e-mail and file-sharing purposes, such as MailChimp, Dropbox and Google, which are either bound by GDPR or have committed to a US-equivalent privacy shield.

Users of our website may review and update any personal information that is provided to us or collected through this website and stored by us. Recipients of the Warwickshire Open Studios mailings may unsubscribe at any time by contacting us directly on admin@warwickshireopenstudios.org or via MailChimp’s Unsubscribe link.

Images and copyright

  • Copyright of all images submitted for use to WOS will remain with the artists or the authorised image maker. Please be aware that we will use a selection of these images for marketing purposes and to promote WOS.
  • Please make sure that you either own the copyright or have the permission of the copyright holder to use any image
  • WOS reserves the right to edit and crop images for use in promotional items.

Website copyright

Each artist shall grant a worldwide, irrevocable, perpetual licence to WOS to use their images on the website, in other electronic forms, print, or any other form, and in any publication for the purpose of marketing or promoting WOS, and solely in connection with events organised by WOS. 

It is the responsibility of the Artists to ensure that they:

  •    Own the copyright of any image submitted and/or
  •    Have any and all necessary permissions from any third party copyright holder to use any image submitted, for the purposes outlined above. Artists shall obtain signed Model Releases for any images or recognisable people.

All text, images, graphics, and other materials on this website are subject to the copyright and other intellectual property rights of WOS, unless otherwise stated. These materials may not be reproduced, distributed, modified or reposted to other websites without the express written permission of WOS.

Disclaimer

We take every care to ensure that the data held on the website and within the various printed materials is as accurate as possible. However it is the ultimate responsibility of the participant to make sure that the information that they provide is accurate and timely.
